Setting up Webex Calling call queues and hunt groups
Webex Calling
Verified 2026-09-30 · 66 sources · tier 2
For Webex Calling administrators with Control Hub admin rights who already have at least one Webex Calling location with numbers..
A Webex Calling hunt group routes incoming calls to a set of members in a predetermined pattern 55. Webex Calling call queues hold up to 250 calls, while Customer Assist adds screen pop, wrap-up reasons, auto-answer, and supervisor analytics in the Webex App 3710.
Before you start
- Cisco's configuration workflow places location-level work and managing phone numbers before configuring calling features 64. See also Setting up a Webex Calling location.
- A location must have a main number assigned if it includes any extension-only entities, such as extension-only users, workspaces, virtual lines, or features 65.
- A hunt group requires a phone number or an extension 59.
- A call queue requires a phone number or an extension of 2 to 10 digits; leaving the extension blank causes the system to assign the last 4 digits of the phone number 32.

Pick your answers to see only your path. Nothing is sent anywhere until you make a plan.
Two questions. One permanent page you can send to your manager.
Step 1 Confirm licensing and prerequisites
Hunt group: ring a set of people in a pattern, with no queueing or announcements
Do
Confirm that the target location exists, as hunt groups are included as part of the standard package of location group services 62.
Verify
Suggested check: open Control Hub and confirm the target location is present.
Rollback
Suggested rollback: delete any unwanted location that was created in error.
Call queue: callers wait in line with announcements and overflow, on the professional license
Do
Confirm that intended agents hold Webex Calling Professional user licenses, Professional workspace licenses, or Workspace licenses, as call queues are not available for Standard licenses 6129.
Verify
Suggested check: view agent accounts in Control Hub to verify they are assigned Professional or Workspace licenses rather than Standard licenses.
Rollback
Suggested rollback: remove licenses assigned in error.
Customer Assist queue: a call queue plus screen pop, wrap-up and supervisor dashboards, on the Customer Assist license
Do
Obtain Customer Assist licenses via Cisco Collaboration Flex Plan 3.0, which include a Webex Calling professional license 11. Workspaces and virtual lines cannot be assigned to Customer Assist queues 12.
Verify
Suggested check: verify that Customer Assist licenses appear in Control Hub subscriptions and that candidate agents are user accounts.
Rollback
Suggested rollback: unassign licenses allocated in error.
Step 2 Prepare schedules and audio
Hunt group: ring a set of people in a pattern, with no queueing or announcements
Do
Create business-hours schedules, holiday schedules, or operating modes if the hunt group will use selective call forwarding or forward by operating mode 53.
Verify
Suggested check: inspect the location schedule list to verify that the required schedules exist.
Rollback
Suggested rollback: delete any newly created schedules that are no longer needed.
Call queue: callers wait in line with announcements and overflow, on the professional license
Do
Create the business hours and holiday schedules needed for queue night service and holiday service 31. Upload custom announcement files as .WAV files at 16 kHz, 16-bit PCM to the announcement repository at the organization or location level 4, or generate text-to-speech announcements up to 3,000 characters within the limit of 150 daily TTS creations or updates per organization 5.
Verify
Suggested check: open the announcement repository in Control Hub and verify that the audio files or TTS prompts appear.
Rollback
Suggested rollback: delete unreferenced audio files from the announcement repository.
Customer Assist queue: a call queue plus screen pop, wrap-up and supervisor dashboards, on the Customer Assist license
Do
Create the business hours and holiday schedules required for night and holiday service 31. Prepare .WAV audio files at 16 kHz, 16-bit PCM or TTS announcements up to 3,000 characters 45.
Verify
Suggested check: verify that the schedules and repository files are present in Control Hub.
Rollback
Suggested rollback: delete unreferenced audio files from the announcement repository.
Step 3 Create the feature and assign its number
Hunt group: ring a set of people in a pattern, with no queueing or announcements
Do
In Control Hub, navigate to Services > Calling > Features, select the Hunt Group card, and click Add New 54. Assign a location, a name, a phone number or extension, and optionally up to 10 alternate numbers with distinctive ring patterns 59.
Verify
Suggested check: verify that the hunt group appears on the Hunt Group card with its assigned phone number or extension.
Rollback
Suggested rollback: remove the hunt group or unassign its number and members.
Call queue: callers wait in line with announcements and overflow, on the professional license
Do
In Control Hub, go to Services > Calling > Features, select the Call Queue card, and click Add new 23. Enter a phone number or an extension of 2 to 10 digits 32. Set the Number of Calls in Queue between 1 and 250, avoiding 0 because setting it to 0 disallows incoming calls 3738.
Verify
Suggested check: confirm the queue is listed on the Call Queue card with a non-zero queue size.
Rollback
Suggested rollback: remove the queue or reassign the selected phone number.
Customer Assist queue: a call queue plus screen pop, wrap-up and supervisor dashboards, on the Customer Assist license
Do
Create a new queue under Services > Customer Assist > Queues, or upgrade an existing call queue 15. If upgrading, note that the upgrade keeps agents and settings, removes workspaces and virtual lines, changes Weighted routing to Top Down, and cannot be downgraded 15. Set the Number of Calls in Queue between 1 and 250 37.
Verify
Suggested check: open Services > Customer Assist > Queues to confirm the queue appears in the list.
Rollback
Suggested rollback: record all settings and agents prior to upgrading, as downgraded conversion back to a call queue is not supported.
Step 4 Select the routing pattern
Hunt group: ring a set of people in a pattern, with no queueing or announcements + Weighted: split calls by the percentage assigned to each agent
Do
On the Call Routing page, select Weighted 60.
Verify
Suggested check: confirm that the total membership does not exceed the limit for weighted routing.
Rollback
Suggested rollback: change the routing pattern to a different selection.
Call queue: callers wait in line with announcements and overflow, on the professional license + Weighted: split calls by the percentage assigned to each agent
Do
On the Call Routing page, select Weighted 36.
Verify
Suggested check: confirm that the queue membership does not exceed the limit for weighted routing.
Rollback
Suggested rollback: choose another routing pattern on the Call Routing page.
Customer Assist queue: a call queue plus screen pop, wrap-up and supervisor dashboards, on the Customer Assist license + Weighted: split calls by the percentage assigned to each agent
Do
Customer Assist does not offer weighted routing, and upgrading an existing weighted queue automatically converts it to Top Down 15. Select an available pattern: Circular, Top Down, Longest Idle, Simultaneous, or skill-based routing with agent skill levels 1 to 20 3639.
Verify
Suggested check: verify that the Call Routing page displays the chosen supported pattern.
Rollback
Suggested rollback: reselect a supported routing option on the Call Routing page.
Circular: continue round-robin from the last agent who took a call
Do
On the Call Routing page, select Circular to continue routing from the agent after the one who last took a call 36. For a call queue or Customer Assist queue, skill-based routing from levels 1 to 20 with circular tie-breaking can alternatively be chosen 39.
Verify
Suggested check: verify that the group or queue membership remains within the allowed ceiling for circular routing.
Rollback
Suggested rollback: return to the Call Routing page and select the previous routing pattern.
Top down: always start from the first agent in the list
Do
On the Call Routing page, select Top Down so calls always start at the top of the agent list 36. For a call queue or Customer Assist queue, skill-based routing with top-down tie-breaking can alternatively be selected 39.
Verify
Suggested check: verify that the group or queue membership remains within the allowed ceiling for top-down routing.
Rollback
Suggested rollback: select the prior routing pattern on the Call Routing page.
Longest idle: offer to whoever has been idle longest
Do
On the Call Routing page, select Longest Idle 36. For a call queue or Customer Assist queue, skill-based routing with longest-idle tie-breaking can alternatively be selected 39.
Verify
Suggested check: verify that the group or queue membership remains within the allowed ceiling for longest-idle routing.
Rollback
Suggested rollback: switch back to the prior routing pattern.
Simultaneous: ring every agent at once
Do
On the Call Routing page, select Simultaneous to ring all agents at once 36.
Verify
Suggested check: confirm that the total number of members or agents does not exceed the simultaneous routing ceiling.
Rollback
Suggested rollback: switch back to another routing pattern on the Call Routing page.
Step 5 Set no-answer, busy and overflow handling
Hunt group: ring a set of people in a pattern, with no queueing or announcements
Do
Configure "Advance after set number of rings" to a value between 1 and 20 48. Enable "Advance when busy" if members currently on a call should be skipped 49. Set "Forward after set number of rings" to between 1 and 99 rings to route unanswered calls to a destination number or voicemail 57. Choose whether to enable hunt group busy or allow agents to toggle it 52.
Verify
Suggested check: review the summary page to verify that the ring limits, busy forwarding, and hunt group busy settings match expectations.
Rollback
Suggested rollback: revert ring counts and disable the busy options in the hunt group settings.
Call queue: callers wait in line with announcements and overflow, on the professional license
Do
On the Overflow Settings page, select an overflow treatment: busy treatment, ringing until the caller hangs up, or transfer to a phone number 33. Configure bounced-call settings to bounce calls after 1 to 20 unanswered rings, bounce if the agent becomes unavailable, or alert/bounce when held for 1 to 600 seconds 20.
Verify
Suggested check: verify that the selected overflow destination and bounce timers appear on the Review page.
Rollback
Suggested rollback: reconfigure overflow handling to the default setting.
Customer Assist queue: a call queue plus screen pop, wrap-up and supervisor dashboards, on the Customer Assist license
Do
Configure queue overflow treatment to perform busy treatment, play ringing until hang-up, or transfer to a phone number 33. Set bounced-call handling to bounce after 1 to 20 rings, bounce when agents become unavailable, or alert/bounce on hold durations between 1 and 600 seconds 20.
Verify
Suggested check: verify the overflow treatment on the queue settings page.
Rollback
Suggested rollback: edit the queue overflow settings back to the prior values.
Step 6 Configure announcements
Hunt group: ring a set of people in a pattern, with no queueing or announcements
Do
Cisco positions hunt groups for simple member hunting without IVR, in contrast to call queues that provide queueing 66.
Verify
Suggested check: verify that call routing settings are saved.
Rollback
Suggested rollback: adjust routing settings if changes were made.
Call queue: callers wait in line with announcements and overflow, on the professional license
Do
Enable a welcome message, marking it mandatory if it must play even when an agent is available 44. Optionally configure an estimated wait message informing callers of queue position or wait time with a handling time of 1 to 100 minutes repeating every 10 to 600 seconds, a comfort message every 1 to 600 seconds, looping hold music, and a call whisper message played to agents before connection 24222745.
Verify
Suggested check: place a test call while all agents are busy to verify the order of the welcome message, estimated wait announcement, comfort message, and hold music 222427.
Rollback
Suggested rollback: turn off individual custom announcements or reset them to default system prompts.
Customer Assist queue: a call queue plus screen pop, wrap-up and supervisor dashboards, on the Customer Assist license
Do
Configure the queue announcements: welcome message, estimated wait message (1 to 100 minutes default handling time, replaying every 10 to 600 seconds), comfort message (1 to 600 seconds), hold music, and call whisper 4424222745.
Verify
Suggested check: place a test call to confirm that announcements play in order.
Rollback
Suggested rollback: disable individual announcements or set them to default audio.
Step 7 Add agents
Hunt group: ring a set of people in a pattern, with no queueing or announcements
Do
On the Select Agents page, add users, workspaces, or virtual lines up to 1,000 members (or the limit of the chosen routing pattern) 5160. Ensure any extension-only entities belong to a location with a main number assigned 65.
Verify
Suggested check: review the agent list to verify all added members are present.
Rollback
Suggested rollback: remove added members from the hunt group.
Call queue: callers wait in line with announcements and overflow, on the professional license
Do
On the Select Agents page, add users, workspaces, or virtual lines 19. Configure "Allow agents to join or unjoin the queue" if agents should control queue membership, noting agents added during creation start joined 28. Set "Allow agents on active calls to take additional calls" if required 30. Assign agent skill levels (1 to 20) or percentage weights (0 to 100) if using skill-based or weighted routing 3943. An agent's personal call forwarding does not apply to queue calls 18.
Verify
Suggested check: confirm the agent roster shows expected skill levels, weights, and joined states 28.
Rollback
Suggested rollback: remove agents using the trash icon or Remove All.
Customer Assist queue: a call queue plus screen pop, wrap-up and supervisor dashboards, on the Customer Assist license
Do
Add licensed Customer Assist users to the queue, assigning licenses in the wizard if needed 12. Workspaces and virtual lines cannot be added 12. Set the join/unjoin options and skill levels 1 to 20 if using skill-based routing 2839.
Verify
Suggested check: confirm that every agent in the queue holds a Customer Assist license 12.
Rollback
Suggested rollback: remove users from the Customer Assist queue.
Step 8 Set forwarding and after-hours policies
Hunt group: ring a set of people in a pattern, with no queueing or announcements
Do
On the Call Forwarding tab, configure forwarding to always forward, selectively forward based on schedules or callers, or forward by operating mode, with an option to send to voicemail 53. Note that "Not to Forward" rules take precedence over "Forward" rules 53.
Verify
Suggested check: place a call during active scheduled hours and outside them to confirm routing behavior.
Rollback
Suggested rollback: disable or delete the forwarding rules.
Call queue: callers wait in line with announcements and overflow, on the professional license
Do
Configure call queue call forwarding (always forward, selective forward by schedule/caller, or by operating mode, where "Not to Forward" rules take precedence) 21. Configure queue policies: holiday service based on a holiday schedule, night service based on a business hours schedule, stranded-call handling (busy, transfer, night service, ring until hang-up, or announcement until hang-up), and forced forwarding for emergency diversions 314025.
Verify
Suggested check: verify that forced forwarding remains disabled for regular operation, and place an after-hours test call to verify night service routing 25.
Rollback
Suggested rollback: disable the policy rules or clear the forwarding targets.
Customer Assist queue: a call queue plus screen pop, wrap-up and supervisor dashboards, on the Customer Assist license
Do
Configure call forwarding, night service, holiday service, stranded-call handling, and emergency forced forwarding 21314025.
Verify
Suggested check: test calling the queue outside business hours to verify that night service engages.
Rollback
Suggested rollback: clear destination numbers or disable after-hours policies.
Step 9 Set up supervision and Customer Assist extras
Hunt group: ring a set of people in a pattern, with no queueing or announcements
Do
If agents were given permission to control hunt group busy status, provide them with the feature access codes: #51 to activate, #52 to deactivate, and #53 to check status 4752.
Verify
Suggested check: dial the hunt group busy status check code from an agent phone to check the current status.
Rollback
Suggested rollback: dial the hunt group busy deactivation code from an agent phone to clear busy status.
Call queue: callers wait in line with announcements and overflow, on the professional license
Do
Assign supervisors on the Supervisors tab, where each supervisor can be assigned up to 100 agents 42. Provide supervisors with the feature access codes for call queue supervision: #82 to silent-monitor, #85 to coach, *33 to barge in, and #86 to take over, each followed by the agent extension 4241.
Verify
Suggested check: during an active queue call to an agent, have an assigned supervisor dial the silent monitoring access code plus the agent extension to confirm audio.
Rollback
Suggested rollback: remove assigned supervisors from the Supervisors tab.
Customer Assist queue: a call queue plus screen pop, wrap-up and supervisor dashboards, on the Customer Assist license
Do
Assign supervisors, who receive monitoring, coaching, and intervention capabilities within the Webex App 41. Configure screen pop, agent wrap-up reasons, and auto-answer 10.
Verify
Suggested check: verify in the Webex App that supervisor dashboards show the queue and assigned agents.
Rollback
Suggested rollback: remove assigned supervisors and disable Customer Assist extras on the queue.
Step 10 Onboard agents
Hunt group: ring a set of people in a pattern, with no queueing or announcements
Do
Instruct users on Cisco 9800 or 8875 phones to sign in to the hunt group on their device to receive calls, noting that signing out stops hunt group calls while leaving direct calls active 63.
Verify
Suggested check: verify on the phone screen that the agent displays as signed in to the hunt group.
Rollback
Suggested rollback: have the agent sign out of the hunt group on the phone interface 63.
Call queue: callers wait in line with announcements and overflow, on the professional license
Do
Have agents open the Webex App, click the Queues icon in the footer (or on mobile, go to profile picture > Call Queues), sign in, choose an agent status, and toggle the queue on to join 6. Remind agents that calls are not routed to them by default while they are in the Wrapping Up state 46.
Verify
Suggested check: open Live Queue Stats under Calling analytics in Control Hub to confirm agents appear as staffed 3.
Rollback
Suggested rollback: instruct agents to toggle the queue off or sign out in the Webex App 6.
Customer Assist queue: a call queue plus screen pop, wrap-up and supervisor dashboards, on the Customer Assist license
Do
Instruct agents to sign in to Customer Assist in the Webex App and set their status to Available to receive calls 7. Ensure agents know that setting Unavailable or being in Wrapping Up prevents new queue calls from routing to them 7.
Verify
Suggested check: verify in Live Queue Stats that the Customer Assist agents show as staffed and idle 3.
Rollback
Suggested rollback: have agents switch their status to Unavailable in the Webex App 7.
Step 11 Test end to end and read the analytics
Hunt group: ring a set of people in a pattern, with no queueing or announcements
Do
Place a test call to the hunt group number and let it ring past the "Forward after set number of rings" threshold 57. Review Control Hub Calling analytics under the Hunt Group section for usage and performance views 2. See also Webex Calling analytics in Control Hub.
Verify
Suggested check: confirm the call diverts to the configured forward destination and verify that test calls register in the analytics views.
Rollback
Suggested rollback: clear test forwarding entries or reset ring thresholds if changed for testing.
Call queue: callers wait in line with announcements and overflow, on the professional license
Do
Place a test call to the call queue to observe call handling when queue size is reached, and note that setting queue size to 0 blocks incoming calls 38. Monitor Live Queue Stats in Control Hub Calling analytics, which reports calls waiting and staffed, idle, or unavailable agents every 30 seconds 3. Review Call Queue Stats and Call Queue Agent Stats 3.
Verify
Suggested check: confirm that Live Queue Stats updates call counts in real time and that agents receive calls according to the configured routing pattern.
Rollback
Suggested rollback: restore normal agent staffing and reset any testing thresholds.
Customer Assist queue: a call queue plus screen pop, wrap-up and supervisor dashboards, on the Customer Assist license
Do
Place test calls to the Customer Assist queue to confirm call routing, announcement playback, and Live Queue Stats updates 3. Review agent and supervisor analytics in the Webex App 10.
Verify
Suggested check: verify that real-time queue details and call activity update within the Webex App supervisor interface 10.
Rollback
Suggested rollback: return agent availability states to their normal operating settings.
