Using a Cisco desk phone on Webex Calling

For End users operating a Cisco IP Phone 7841 or 7861 registered to Webex Calling..

This guide steps through daily call handling on Cisco IP Phone 7800 Series Multiplatform Phones connected to Webex Calling 62. It covers placing, answering, transferring, conferencing, parking, forwarding, and voicemail operations 7​13.

Before you start

Cisco 7800 and 8800 series phones must be converted from Enterprise firmware to Multiplatform firmware before registering to Webex Calling 74. Converting an IP phone requires hardware version V04 or later on the 7841 and V03 or later on the 7861, running software version 11.3.1MES5 or later 75. The user guide for Cisco IP Phone 7800 Series Multiplatform Phones covers Multiplatform firmware 11.3(1) and later with changes documented through 12.0(4) 62. Firmware 12.0(7) introduces support for a custom device certificate on 802.1x and lists no new or changed end-user call handling behavior 1, with published release notes current up to 12.0(7)SR2 33.

Step 1 Identify your phone model and hardware layout

Press Applications, select Status, choose Product Information, and read the model line at the top of the window 25​13. Locate the two programmable line buttons on either side of the screen, which provide four lines in total 2. Note the softkeys below the screen whose labels change with call status, the Contacts and Messages keys above the keypad, and the Volume rocker 52​13​72.

Step 2 Place a call

To place a call with the handset, enter the target number using the keypad and then lift the handset 34. To place a call using the speakerphone, dial the number and press the Speakerphone key 36. To place a call with a headset, connect the headset, dial the number, and press the Headset key 35.

What you should see

Verify that the Speakerphone or Headset key illuminates when activated 6, and confirm call progression on the display.

Rollback

Suggested rollback: End the call by replacing the handset on hook or by pressing the illuminated Speakerphone or Headset key.

Step 3 Answer incoming calls and call waiting

When an incoming call arrives, answer it by pressing the flashing red line button 5. If a second call arrives during an active call, listen for a single beep and press the line button flashing red to answer the incoming call 8.

What you should see

Verify that the handset light strip flashes red during incoming call alerting 31.

Rollback

To disable call waiting alerting, select the line with the navigation cluster, press Applications, navigate to User preferences > Call preferences > Call waiting, choose Off, and press Set 9​38.

Step 4 Manage mute, hold, and multiple active calls

Press Mute to silence your audio, and press Mute again to unmute 37. To hold an active call, press Hold 32. Press Hold or Resume to return to the held call 51. To swap between active and held calls, press the line button of the held call and select Resume, which resumes that call and automatically places the active call on hold 54.

Verify that the Mute button illuminates while audio muting is active 6.

Suggested rollback: Press Mute to restore transmission, or press Resume to bring the held party back on the line.

Step 5 Transfer a call

Consult transfer (talk to the recipient first)

From a call that is not on hold, press the dedicated Transfer key 7​12. Dial the destination number, press Call, and speak with the party once they answer 12. Optionally press the line key to switch between the original caller and the transfer destination, then press Transfer again to complete the handover 12.

Blind transfer (send directly without speaking)

From a call that is not on hold, press the dedicated Transfer key 7​56. Enter the destination phone number and press Call, releasing the call without waiting for the recipient to answer 56​55. Note that the 7800 series user guide does not provide a separate Blind Xfer softkey 39.

Suggested check: Verify that your phone drops from the call and returns to an idle screen state.

Suggested rollback: A completed blind transfer cannot be recalled from the phone; place a new call to the destination party if follow-up is required.

From an active call, press the dedicated Conference key 7​11. Enter the phone number of the participant to add and press Call 11. Once connected, press Conference again to bridge all parties into the call, up to a maximum of six people including yourself 11​10.

To park the active call, press the Park softkey, listen for the prompt requesting the park number, enter the target number on the keypad, and press Pound 42. Only one call can be parked at a specific park number 40. To retrieve the call at the same phone, press Unpark and enter Pound alone, or enter the assigned park number followed by Pound 59​60.

What you should see

Verify that the call is reconnected to the phone, or listen for an alert if the parked call is left unattended before routing to voicemail or another administrator target 43.

To park the active call, press the Park softkey, listen for the prompt requesting the park number, enter the number on the keypad, and press Pound 42. At the retrieving phone anywhere across the network, press Unpark, enter the assigned park number, and press Pound 41​60. Alternatively, dial feature access code *68 to park or *88 to retrieve 22.

Verify that the call connects at the secondary phone 41.

Park the active call by pressing Park, entering the park slot number, and pressing Pound 42. To retrieve the parked call, press the line key configured for busy lamp field with call pickup 58. If the key does not connect the call, press Unpark, enter the park number, and press Pound 60.

Press the dedicated Messages button, press Messages a second time, and follow the voice prompts 13​4. Voicemail retrieval can also be dialed using feature access code *86 24. To change the PIN, sign in to User Hub, navigate to Settings > Calling > Voicemail, and select Reset voicemail PIN 68. The PIN must be 6 to 30 digits, must not contain repeating patterns, must not include your phone number or extension forwards or backwards, must not contain the same digit more than three times consecutively, must not use more than three ascending or descending digits, must not reverse the previous PIN, and must not match any of your last 10 PINs 67.

What you should see

Verify message arrival via a steady red handset light strip, an on-screen message count (with a plus sign beyond 99 messages), an exclamation mark for urgent messages, and a stutter dial tone upon going off hook 31​64. Internal mailbox capacity is 100 minutes 69.

Rollback

Suggested rollback: Reset the voicemail PIN again through User Hub using a non-matching pattern from the previous ten PINs.

No, my voicemail is not enabled

Do

Contact your administrator to enable your voicemail account, which requires setting the Voicemail toggle within Calling settings in Control Hub 63​70. The administrator must configure the account before the phone can access voicemail services 63.

What you should see

Verify in User Hub under Settings > Calling > Voicemail that the voicemail toggle is active 71. Note that the Calling menu appears only for accounts assigned a Webex Calling license 61.

Rollback

Suggested rollback: Request that your administrator disable the Voicemail toggle in Control Hub.

Cisco states that because each voicemail system is different, the phone user guide does not document how to use the voicemail system itself 65. Cisco documents that an alert sounds if a parked call remains parked too long and that it subsequently routes to voicemail or an administrator destination, but does not publish the exact timer duration 43. Emergency call handling and location registration rules are not covered by the sources below.
