Building a custom Analyzer report in Webex Contact Center

For Contact-center administrators and supervisors who already have Analyzer access and read the stock reports but have not yet built a custom visualization..
In Analyzer, every visualization is built on one of 4 record types: Customer Session Record, Customer Activity Record, Agent Session Record or Agent Activity Record 20. Once built, a visualization can be shown on a dashboard, which displays a user's choice of visualizations, or scheduled to run periodically with an email list attached 11 39.
Before you start
- Your user profile must grant the Analyzer module Edit, because the module can be set to No Access, View or Edit and only Edit gives full editing rights in Analyzer 3.
- Decide what you are measuring: Customer Session and Customer Activity Records hold task (contact) data, while Agent Session and Agent Activity Records hold agent data 49.
- Decide the time window: a real-time visualization covers 5, 15 or 30 minutes up to the current moment 32, while Analyzer reports can cover up to 13 months back from the current date 35.
- Decide the report shape now, because Cisco advises deciding whether you need a value-based calculation or an aggregated view before building the report 13.
- Note your entity scope: visualizations on Customer Session or Customer Activity Records are restricted by your user profile's Entry Points, Queues, Sites and Teams 34, and visualizations on Agent Activity Records are restricted by Queues, Sites and Teams, and those on Agent Session Records by Sites and Teams only 33.

Step 1 Confirm your Analyzer permission and data scope
Do
Check the Analyzer setting in your user profile, which is No Access, View or Edit; only Edit gives full editing rights in Analyzer 3. Check the folder you plan to save into, because an Analyzer subfolder cannot have higher access than its parent folder, and lowering the Analyzer permission from Edit to View changes all subfolders to View 48. For contact-based reports, note your profile's Entry Points, Queues, Sites and Teams, which restrict visualizations on Customer Session and Customer Activity Records 34. For agent-based reports, note that Agent Activity Record visualizations are restricted by Queues, Sites and Teams, and Agent Session Record visualizations by Sites and Teams only 33.
Verify
Suggested check: confirm you can create content in your target folder. Suggested check: write down the queues, sites and teams your figures will be limited to.
Step 2 Check the stock reports first, and copy one if it is close
Do
Look through the stock report categories, which include Agent Reports, Auxiliary Reports, Business Metrics, Multimedia Reports and Transition Reports 46. Every user gets View access to stock reports, and that access cannot be changed 47. To change a stock report, use Save As to save a copy in your own folder 38.
Verify
Suggested check: the copy appears in your folder under its new name, and the original stock report is unchanged.
Step 3 Pick the record type that answers the question
A whole customer contact (Customer Session Record)
Do
Choose Customer Session Record, which represents the customer workflow, made up of a sequence of customer activities 9. Its contact-level fields include termination type, queue duration in milliseconds, whether the contact was handled by an agent, and the last queue name 10. Cisco's service-level percentage report is built on this record type 42.
Verify
Expect counts to reflect only your profile's Entry Points, Queues, Sites and Teams, which restrict visualizations on this record type 34. Suggested check: a simple count of session IDs for yesterday is close to the contact volume in a comparable stock report, allowing for your entity restrictions.
Rollback
Suggested rollback: before you save, change the record type or discard the draft.
One step in a customer contact (Customer Activity Record)
Do
Choose Customer Activity Record, where each record represents one atomic step in the customer workflow 8. Counts on this record are per step, while a Customer Session Record is made up of a sequence of such customer activities 8 9.
Verify
Suggested check: per-step counts for a period come out higher than the whole-contact count for the same period.
Rollback
Suggested rollback: before you save, change the record type or discard the draft.
An agent's login session (Agent Session Record)
Do
Choose Agent Session Record, which represents the agent workflow, made up of a sequence of agent activities 5. It carries login and logout times and the time in milliseconds the agent spent in Idle, Available and Wrap-up states 6. Visualizations on this record are restricted by Sites and Teams only 33.
Verify
Suggested check: the agents listed belong to the sites and teams your profile allows.
Rollback
Suggested rollback: before you save, change the record type or discard the draft.
One agent state change (Agent Activity Record)
Do
Choose Agent Activity Record, where each record represents one atomic step in the agent workflow 1. It carries per-activity state, duration, idle code, wrap-up code, an outdial flag and the reason for the agent state change 2.
Verify
Suggested check: idle-code names appear as values for the agents you expect.
Rollback
Suggested rollback: before you save, change the record type or discard the draft.
Step 4 Create the visualization and set its time window
Historical: a past period
Do
Set a duration inside the reporting window, because Analyzer reports can cover up to 13 months back from the current date 35. If you use a custom range from 12:00 AM to 12:00 AM the next day, the result can include next-day data, and Cisco's workaround is to filter on the report's date-time field 51.
Verify
Suggested check: the report's start and end match your question, and no rows fall after the intended end time.
Rollback
Suggested rollback: change the duration and run the report again.
Real-time: the last few minutes up to now
Do
Create a real-time visualization and set its duration to 5, 15 or 30 minutes; it shows activity from up to 30 minutes ago to the current moment 32.
Verify
Suggested check: values change as live contacts and agent states change.
Rollback
Suggested rollback: change the duration, or rebuild the report as historical if you need a longer window.
Step 5 Set interval, time zone and week handling
Historical: a past period
Do
Pick an interval that suits the duration, because Analyzer will not run a report with a long duration and a short interval 25. If you need the interval split, tick the Enable Split Interval check box in the Compute section, which is off by default 44. Choose whether to display the report in the browser time zone or the tenant time zone 52. For weekly buckets, set the start day of the week, which users can set for custom reports and which applies for every viewer of the report 45.
Verify
Suggested check: the report runs without a duration or interval error, and the interval buckets line up with your business day in the chosen time zone.
Rollback
If Analyzer refuses to run the report, reset Duration and Interval 25. Suggested rollback: untick Enable Split Interval.
Real-time: the last few minutes up to now
Do
Choose whether to display the report in the browser time zone or the tenant time zone 52. The window is already bounded by the 5, 15 or 30 minute duration you set when creating the visualization 32.
Verify
Suggested check: timestamps show in the time zone you expect.
Rollback
Suggested rollback: switch the time zone setting back.
Step 6 Commit to value-based or aggregate before adding variables
Value-based list, one record value per row
Do
Cisco advises deciding between a value-based calculation and an aggregated view before building the report 13. Select 'Value of' in the first profile variable formula, which makes a value-based report and disables Row and Column segments 54.
Verify
Suggested check: the Row and Column segment controls are unavailable, and each output row is one record's value.
Rollback
Delete that first profile variable through its single-click action, which holds functions including Show/Hide and Delete 30.
Aggregated by row or column segments
Do
Cisco advises deciding between a value-based calculation and an aggregated view before building the report 13. Add a Row or Column segment first, which makes an aggregate report and hides the 'Value of' option in profile variable formulas 4. Cisco's service-level percentage report, for example, uses Queue Name as the row segment 42.
Verify
Suggested check: the output has one row per segment value.
Rollback
Suggested rollback: remove the segment before you add measures, and confirm the value-based option is available again.
Step 7 Build measures from filtered profile variables and formulas
Do
Add one profile variable per base measure, and give a variable its own filter where the measure is conditional, as in Cisco's example of a Session ID count restricted to the normal and quick_disconnect termination types to count handled contacts 31. Since 17 November 2025, filters can also be applied directly inside a formula, and multiple filters are combined with AND 17. Write combined measures in Analyzer's text-based formula editor, which offers guidance and validation and which Cisco listed on 31 July 2025 19. A formula profile variable can combine other profile variables arithmetically, as in Cisco's service-level example that defines Offered as Handled plus Abandoned and SL% as In SL divided by Offered 18. Express duration thresholds in milliseconds, as Cisco's In SL variable does when it filters queue duration against the queue's service-level threshold 43.
Verify
Suggested check: each base variable matches a known figure for one queue or agent. Suggested check: the formula editor accepts each formula without a validation error. Suggested check: each ratio falls in a plausible range for the measure.
Rollback
Hide or delete a profile variable through its single-click action, which holds Show/Hide and Delete 30.
Step 8 Add report-level filters
Do
Choose between the two filter methods Analyzer offers: filtering by profile variables and filtering by data filter 53. Since 19 March 2026, data filters can combine conditions with AND and OR and nest them 12. Keep to 1000 filter values or fewer, because a report accepts at most 1000 and above that you must remove values before proceeding 16.
Verify
Suggested check: row counts drop as you expect, and no out-of-scope entity appears.
Rollback
Suggested rollback: remove the filter condition and run the report again.
Step 9 Choose the output format
Do
Use a grid (table) for detail, where the default row limit is 100,000 rows 37. Use a chart for trends, where the default row limit is 10,000 rows 36. For a single headline metric, use a KPI Card, an Analyzer chart type released 11 June 2026 for custom metric cards with color-coded thresholds 23. Put the headline measure first, because a KPI Card renders only the first visible profile variable as its metric 24. Add color-coded threshold conditions if needed, up to 10 per report, built from comparison operators 50.
Verify
Compare a chart's row count with the table view, because the default row limit for a chart report is 10,000 rows 36. Suggested check: the rendered output shows the intended metric.
Rollback
Suggested rollback: switch the output type back to a table.
Step 10 Save into your folder and check the numbers
Do
Save the visualization into a folder where you hold Edit access, remembering that only Edit gives full editing rights and a subfolder cannot have higher access than its parent folder 3 48. Run it and compare one row against a stock report measuring the same thing, which every user can view 47.
Verify
Allow for entity restrictions when comparing figures, because visualizations are restricted by the profile's entities for each record type 34 33. Allow for the display time zone, which can be the browser time zone or the tenant time zone 52. Suggested check: your figures match the stock report once filters, entity restrictions and time zone are accounted for.
Rollback
Suggested rollback: edit the visualization and save it again.
Step 11 Deliver the report
A shared link + Historical: a past period
Do
Click Share to copy a permalink URL for the report 28. A historical report permalink stays active for 8 hours, so send it close to when recipients will open it 29.
Verify
Tell recipients that the link stays active for 8 hours 29. Suggested check: the link opens for the recipient.
A scheduled email + Historical: a past period
Do
Schedule the visualization to run periodically and attach an email list for automatic distribution 39. Expect the scheduled job to run in the tenant time zone, because scheduled Analyzer jobs always do 41.
Verify
Suggested check: the first scheduled email arrives, and its time buckets match the tenant time zone.
A downloaded Excel or CSV file + Historical: a past period
Do
Click Export on the title bar and choose Microsoft Excel or CSV 15. Keep the visualization to 2000 columns or fewer, because a historical visualization with more than 2000 columns cannot be exported 14.
Verify
Suggested check: the file opens and its row count matches the on-screen report.
Rollback
Suggested rollback: delete the downloaded file locally.
A shared link + Real-time: the last few minutes up to now
Do
Click Share to copy a permalink URL for the report 28. A real-time report permalink stays available indefinitely 29.
Verify
Suggested check: the link opens for the recipient and shows live values.
A scheduled email + Real-time: the last few minutes up to now
Do
The Analyzer guide describes scheduling as producing historical reports for automatic email distribution 40. If a shared link meets the need, a real-time report permalink stays available indefinitely 29.
Verify
Suggested check: confirm in your own tenant whether a schedule can be created for this visualization before relying on one.
A downloaded Excel or CSV file + Real-time: the last few minutes up to now
Do
Real-time visualizations cannot be exported 26. To share the result instead, use a permalink, which for a real-time report stays available indefinitely 29.
Verify
Suggested check: the recipient can open the shared link.
Opened in Analyzer by people who have access
Do
Leave the report in a shared folder, knowing that each viewer sees only what their own profile's entity restrictions allow 34 33. A viewer's folder access follows their Analyzer permission, and lowering it from Edit to View changes all subfolders to View 48.
Verify
Suggested check: ask a colleague with view access to open the report.
Rollback
Suggested rollback: move the report to a folder they cannot see.
Step 12 Optionally place it on a dashboard
Do
Add the visualization to a dashboard, which displays a user's choice of visualizations 11. Analyzer's home page, reimagined on 20 August 2026, brings visualizations, dashboards and folders into one view 55.
Verify
Suggested check: the dashboard renders the visualization with the same figures as Step 10.
Rollback
Suggested rollback: remove the visualization from the dashboard.
