Customizing Cisco MPP phone settings on Webex Calling
Verified 2026-09-30 · 78 sources · tier 2
For Webex Calling administrators configuring device settings, lines, line key layouts, and appearances on Cisco desk phones in Control Hub..
Control Hub device settings allow administrators to manage Cisco MPP, Wireless, ATA, and DECT devices on Webex Calling 13. Configurations can be customized at the organization, location, or device level and pushed to registered endpoints 421.
Before you start
Control Hub device settings configure Cisco Multiplatform (MPP), Wireless, ATA, and DECT devices 13. Control Hub configurations override any manual configurations applied directly on the device 14.
Before modifying parameters across broad scopes, verify administrative precedence: organization-level device settings have no effect on a device if its location has custom settings defined or if the device itself has custom settings defined 7. Furthermore, devices with custom settings that override organization or location defaults are not updated when organization or location defaults are subsequently modified 10.

Verify
Suggested check: Select the phone under Devices, reopen All configurations, and confirm the parameter assignments.
Rollback
Suggested rollback: Return to All configurations on the device, revert the modified settings to match location or organization defaults, and apply changes.
Step 3 Configure line assignments
Do
In Control Hub, open the user or workspace, select the device under Devices, click Configure Lines under Device Management, click the plus icon, search for the line by name or phone number, specify the number of appearances in the Appearances column, and click Save 30.
The owner of the device serves as the primary line and occupies the first line position on the device 31. Shared lines can be assigned from any Calling-enabled user or workspace in the organization that has available Shared Call Appearances, and the assignable count may be restricted by that user's or workspace's SCA limit 32. On a phone with Key Expansion Modules (KEMs), the combined maximum number of unique primary, shared, and virtual lines across the phone and KEM together is 16 28. For Cisco Video Phone 8875 and Cisco Desk Phone 9800 Series, a shared phone number can appear on a maximum of 35 devices 6465.
Verify
Suggested check: Reopen Configure Lines under Device Management for the user or workspace to verify that the line list and appearance counts are saved.
Rollback
Suggested rollback: In Configure Lines, delete the newly added line entry and click Save.
Step 4 Assign virtual lines
Do
In Control Hub, navigate to Services > Calling > Virtual Lines, select the virtual line, click Devices, click Assign device, search for and select the target device, review the configured lines and their order, and click Save 74.
Verify
Suggested check: View the Devices tab under the selected virtual line to ensure the endpoint appears in the list.
Step 5 Configure line key layout
Default pre-configured layout
Do
Navigate to Management > Devices, select the device, and click Configure Layout under Device Management to view the pre-configured default layout 2422. Retain the default layout mode without adding custom key definitions 22.
Verify
Use the preview mode in Configure Layout to view how the default layout appears on the device 25.
Bulk line key template
Do
In Control Hub, go to Services > Calling > Service Settings, scroll to Devices, and click View Templates 34. Click Create custom template, provide a unique name, select the specific device model, and define line key assignments 34. The template provides 6 key types: primary line, shared line/virtual line (configured by index number), monitor (for user and call park monitoring), speed dial (configured with label and destination), open (automatically inherits the configuration of a monitor button), and closed (reserved for future features) 3734. Note that users cannot configure device line key assignments themselves 39, line key templates are model-specific 36, and bulk template application is not available for Key Expansion Modules 38. Click Next and Submit 34.
Verify
Suggested check: Open Configure Layout on an individual target device of that model to preview the applied template assignments.
Custom layout per device
Do
In Control Hub, navigate to Management > Devices, select the phone, and click Configure Layout under Device Management 24. Select the custom layout option to manually assign the programmable line keys 22. When configuring programmable keys, an Open key leaves no value specified, allowing a user to manually provision a speed dial on that key directly from the physical phone 23. Configure Layout is supported on Cisco 6800, 7800, 8800, and 9800 Series phones as well as Video Phone 8875 21. Save the layout when complete 18.
Verify
Use the layout preview mode inside Configure Layout to inspect the configuration prior to applying 25.
Rollback
Suggested rollback: Open Configure Layout for the device, toggle the layout mode back to the default pre-configured option, and apply changes.
Step 6 Configure Key Expansion Module layouts
Do
To configure an attached Key Expansion Module (KEM), open Configure Layout for the target phone, click Custom Layout, and select Configure KEM Keys 17. Assign primary lines, shared lines, monitored lines, or speed dials as needed, and click Save 17.
KEM layout is supported on Key Expansion Modules for the Desk Phone 9851, 9861 and 9871 and for 6800 and 8800 Series phones 21. Note that an 18-key Key Expansion Module configuration does not support primary and shared lines 15. The total combined count of unique primary, shared, and virtual lines across the phone and KEM cannot exceed 16 28.
Verify
Suggested check: Re-enter Configure KEM Keys within Configure Layout to confirm that assigned line and monitoring keys are retained.
Rollback
In Configure Layout, open Configure KEM Keys, click Reset KEM Keys to remove the existing KEM key configuration, and click Save 17.
Step 7 Push and apply settings to endpoints
Do
After an organization-level update, devices resync after business hours to download and apply the new configuration 62.
To apply changes immediately on Webex Aware-enabled devices, open the device in Control Hub, navigate to the Actions menu, and click Apply Changes, which sends a request to the phone to download and apply its new configuration 118. If configuration updates fail to take effect using Apply Changes, select Reboot from the Actions menu to force the device to reboot and pull the current configuration 2.
Verify
Suggested check: Inspect the physical phone display to confirm the line appearance labels and keys match the newly saved configuration.
Step 8 Remediate stale monitor and speed dial keys
Do
When changing existing monitor or speed dial line key assignments to Open, or when switching the layout mode back to default, the previous monitor or speed dial values may not be removed automatically from the physical phone 26.
Verify
Suggested check: Verify the line keys on the physical device; if stale monitor or speed dial configurations remain visible on keys meant to be open or default, re-save the layout in Control Hub and execute the Apply Changes action 18.
Applicability
Applies to: Cisco Webex Calling, Cisco Video Phone 8875, Cisco Desk Phone 9800 Series, and Cisco Webex Contact Center. Deployments: multi-tenant. Sources checked 2026-09-30.
What remains uncertain
The virtual agent activities return a transcript URL, but the lifetime, authentication model, and hosting location are not published 76. For the Start Media Stream activity, the destination, protocol, authentication, encryption, and payload description are not stated 77. Furthermore, the media streaming article states no retention period, storage location, or deletion behaviour, and no authentication, authorisation, or encryption property 78. Whether administrator-level ringtones can be set from Control Hub for Cisco 6800, 7800, or 8800 Series phones is not covered by the sources below. The specific un-assign procedure to detach a virtual line from an MPP device is not covered by the sources below.
