Migrating from Avaya IP Office
Verified 2026-10-14 · 54 sources · tier 2–5
Avaya documents that an existing IP Office system running in Essential Edition or Preferred Edition mode can be migrated to IP Office Subscription mode by rerunning the initial configuration menu 40. As announced on 14 February 2023, Avaya Cloud Office by RingCentral remained Avaya's exclusive multi-tenant UCaaS offering under an extended RingCentral-Avaya partnership 2.
Migration paths
See also Avaya IP Office platform and lifecycle.
The documented in-place path is a change to IP Office Subscription mode, made by rerunning the initial configuration menu on an Essential Edition or Preferred Edition system 40. WarmTransfer's reading of the sources is that this is a mode change on the same IP Office system rather than a move to a hosted platform, so the existing on-premises hardware or server and its trunks stay in service 21.
The hosted path that Avaya named in 2023 is Avaya Cloud Office by RingCentral, which remained Avaya's exclusive multi-tenant UCaaS offering as of the 14 February 2023 announcement 2. The February 2023 agreement added go-to-market models letting Avaya sell Avaya Cloud Office directly to its installed base 1. The same agreement included minimum seat commitments and an incentive structure intended to speed migration of Avaya's on-premises base to Avaya Cloud Office 3.
Starting point: Essential and Preferred Edition
Essential Edition licenses are a prerequisite for IP Office Preferred Edition 25. Preferred Edition is a mode for IP500 V2 control units that adds user-profile-licensed features and voicemail through Embedded Voicemail or Voicemail Pro 24. The Preferred Edition license includes 4 voicemail ports, and more can be added with voicemail port licenses 23. Avaya's 12.3 Solution Description states that R10+ licenses work with IP Office R10.0 and later systems, while the other licenses it lists are specific to R12.0 22.
Subscription user tiers
| Subscription | User features included | Source |
|---|---|---|
| Telephony User | Remote Worker only | 49 |
| Telephony Plus User | Remote Worker plus Avaya Workplace Client in basic mode only (telephony and local contacts) | 48 |
| Unified Communications User | Every feature in the user subscription table, including one-X Portal Services, Telecommuter options, UMS Web Services, TTS email reading, Remote Worker, Avaya Workplace Client, WebRTC and Mobility Features | 52 |
On new or defaulted subscription systems, new users are assigned the Telephony User subscription by default 35. A user without a subscription is shown as a Non-licensed User and cannot use any system features 44. If a subscription system has fewer user subscriptions than configured users, some users receive no services and, on suitable Avaya phones, appear logged out with a no-license-available warning when they try to log in 47.
Application subscriptions
A Receptionist Console subscription enables 1 SoftConsole user, and that user still needs a separate user subscription for their phone because SoftConsole is not a softphone 31. The Third-Party CTI subscription covers CTI connections from DevLink, DevLink3, third-party TAPI and TAPI WAV applications 32. The Media Manager subscription archives recordings made by a local Voicemail Pro service and is not supported where voicemail is provided by a Unified Communications Module 30. Subscription mode has an Avaya Call Reporter application subscription, and Call Reporter runs on a separate server 28. Subscription mode also has an Avaya Contact Center Select application subscription, and ACCS runs on a separate server 29.
Ordering, trial and renewal
IP Office subscriptions are ordered through the Avaya Channel Marketplace and are tied to the system's PLDS ID 45. After an order, Avaya emails a customer number and subscription server address, and both are required during the system's initial configuration 34. Avaya places responsibility on the party ordering subscriptions to track expiry dates and renew early enough for the renewal order to be processed 46.
A system ordered in Trial mode can operate for up to 30 days on free subscriptions and reports a subscription error state during the trial 50. Avaya warns that conversion of a trial to paid subscriptions must be requested in the Channel Marketplace before the 30-day trial ends, with enough working time to avoid interrupting telephony 51.
Network and connectivity requirements
Where a firewall controls outbound ports, a subscription system needs outbound HTTPS on TCP 443 and TCP 8443 to reach the subscription services 42. Avaya specifies that the subscription internet connection should have a round-trip delay under 200 ms and at least 128 kbit/s of bandwidth 43. A custom DNS server used by a subscription system must allow external resolution of the avaya-sub.com domain and storage.googleapis.com 41.
In subscription mode, each system in an IP500 V2 Small Community Network needs its own License Server Link, whereas in a Server Edition deployment only the Primary server needs one 36. The connection to Customer Operations Manager uses the COMAdmin service user account in the system security settings, which exists by default on new and defaulted systems 33.
Customer Operations Manager
Avaya's cloud-based Customer Operations Manager (COM) provides the subscriptions for IP Office subscription systems and shows partners each system's status, alarms, type and software level 7. Subscription systems can automatically upload daily backups to the cloud through COM, and COM operators can also run manual backups and restores 6. COM operators can upgrade subscription systems immediately or on a schedule using IP Office software images that Avaya supplies to COM 8.
In IP Office Web Manager 12.3, the Voicemail Pro Backup Config preferences appear only on subscription systems and control what goes into the automatic daily backup to COM 53. The options are Configuration Backup, Custom Prompts Backup and Selective Mailboxes Backup, the last covering messages of mailboxes defined in the User Group preferences 54.
Exporting configuration from IP Office Manager
The File > Import/Export CSV export is limited to Groups, Users, Directory, System Short Codes, Licenses (ADI only) and Full Configuration 11. Manager can export licenses to CSV only for ADI licenses 16. Avaya describes the Full Configuration CSV as too complex to edit by hand and intended only for transferring settings between systems 14. The binary .exp export can include record types the CSV export lacks, including ARS, Incoming Call Route, Line, Time Profile, Auto-Attendants, Account Codes, Authorization Codes, User Rights and Location 9.
We infer that call-routing data a cloud platform must rebuild (incoming call routes, ARS, time profiles, auto-attendants) has to be documented from the Manager configuration or a binary export rather than from editable CSVs 20.
CSV export files use commas as field separators, with no text delimiters and no header row 10. Manager reads and writes CSV files as UTF-8, and Avaya warns that applications such as Excel may use a different encoding that removes or corrupts accented characters 12. By default, Manager exports and imports to a subfolder of the Manager application directory named after the loaded system 13. Importing settings through Manager overwrites any existing records that match a record being imported 19.
In IP Office Manager 12.3, the User CSV field order is Name, Extension, User Rights, Email Address, Full Name, Password, VoiceMail Code, Login Code, User Template, Extension Template 17. In IP Office Manager 12.3, the Group CSV field order is Name, Extension, Group, Hunt, Rotary, Longest Waiting, Queuing On, Voicemail On, Broadcast, Voicemail Email 15. Field reports suggest the User CSV layout varies by Manager release, because a practitioner cookbook documents a User.csv export with only 5 fields (Name, Extension, User Restriction/Rights, Voicemail Email, Full Name), fewer than the 10 fields Avaya lists for Manager 12.3 18.
Call records (SMDR)
IP Office SMDR records are comma-separated variable-width fields terminated by CR LF, with no quoting or escaping because fields do not contain commas or newlines 27. SMDR records include a Call ID field and a Continuation field, alongside call times, caller, direction, called and dialed numbers, party device and name fields, and account and authorization codes 26.
Avaya Cloud Services user import for Workplace Client
When importing multiple users to Avaya Cloud Services by CSV for IP Office Workplace Client, the only required header field is email, which must be in the verified domain 4. Before that import, the company domain must be verified and the IP Office system details must already be added 5.
Applicability
Applies to: Avaya IP Office, Avaya Customer Operations Manager, Avaya IP Office Manager, Avaya IP Office Voicemail Pro, Avaya Cloud Services, and RingCentral Avaya Cloud Office. Deployments: on-premises and multi-tenant. Sources checked 2026-10-14. The subscription migration procedure is documented for systems running in Essential Edition or Preferred Edition mode 40. The CSV field orders cited here are those of IP Office Manager 12.3 17, and the Voicemail Pro Backup Config behaviour is that of IP Office Web Manager 12.3 53. Avaya's 12.3 Solution Description states that R10+ licenses work with IP Office R10.0 and later systems, while the other licenses it lists are specific to R12.0 22. Preferred Edition is documented as a mode for IP500 V2 control units 24. License Server Link requirements are documented for IP500 V2 Small Community Network and Server Edition deployments 36. The Avaya Cloud Office evidence reflects the 14 February 2023 RingCentral-Avaya announcement 2.
What remains uncertain
IP Office release end-of-sale and end-of-support dates, including for R11.1 and R12.x, are not covered by the sources below. The Subscription Licensing Supplement terms for converting perpetual licences are not covered by the sources below. The current status of Avaya Cloud Office by RingCentral, and of any migration tooling for it, is not covered by the sources below. Whether rerunning the initial configuration for subscription mode preserves or defaults the existing configuration is not covered by the sources below. Field mapping from IP Office CSV exports into the bulk import templates of cloud calling platforms is not covered by the sources below. A full row-by-row mapping of Essential Edition and Preferred Edition user profiles to subscription tiers is not covered by the sources below. A Web Manager procedure for a full Voicemail Pro backup and restore before migration is not covered by the sources below. A primary Avaya notice for a seat minimum on another Avaya hosted offering, and any impact of it on IP Office, is not covered by the sources below. In the field, the User CSV layout appears to differ between Manager releases, so verify the field order against the Manager release in use 18.
