# Using Webex Calling voicemail

Webex Calling provides a personal voicemail service that stores voice messages and allows message retrieval through phones, soft clients, or voice portals[^17][^51]. Users can tailor greetings, configure call forwarding triggers, adjust notification preferences, and manage stored audio files[^38][^25][^43].

## Before you start

To configure your mailbox, you must have a Webex Calling license and have voicemail enabled by your administrator[^50]. For browser administration, access User Hub at Settings > Calling > Voicemail[^44]. For soft-client administration, use Webex App advanced call settings[^11]. If you use a physical desk phone, ensure your administrator has enabled the relevant softkey or button[^18].

## What changes by situation

- Where will you usually listen to your messages? On a Cisco IP Phone 6800, 7800 or 8800 Series desk phone; On a Cisco Video Phone 8875; In Webex App on desktop or mobile; By dialling the voice portal from another phone.
- Do you want a copy of each voicemail sent to your email? No, keep messages only in my mailbox; Yes, keep messages in my mailbox and email me a copy.

## Step 1: Turn voicemail on

### Do
Sign in to User Hub, navigate to Settings > Calling > Voicemail, and turn on the voicemail toggle[^44][^50]. Alternatively, open Webex App advanced call settings, select Voicemail, and switch on the Voicemail Service toggle[^11].

### What you should see
Verify that the voicemail toggle remains active and reveals the underlying configuration sections[^44]. If the toggle does not appear, your administrator has not enabled voicemail for your user account[^50].

### Rollback
Switch the voicemail toggle back to the off position in User Hub or Webex App[^11][^50].

## Step 2: Set your voicemail PIN

### Do
In User Hub, navigate to Settings > Calling > Voicemail and select Reset voicemail PIN[^29]. Enter a new PIN between 6 and 30 digits long, re-enter it to confirm, and select Submit[^27][^29]. The PIN must not repeat a simple pattern like 121212, contain your phone number or extension forwards or reversed, repeat a single digit more than 3 times consecutively, include more than 3 ascending or descending digits in a row, match your current PIN reversed, or duplicate any of your last 10 PINs[^26].

### What you should see
Verify that User Hub accepts the entry without displaying validation errors[^29].

### Rollback
Suggested rollback: navigate back to Settings > Calling > Voicemail, select Reset voicemail PIN, and enter an alternate PIN complying with the rules.

## Step 3: Complete first-time portal setup and record your name

### Do
From your desk phone or Webex App, dial *62[^37]. When prompted by the portal, enter your default or newly assigned passcode followed by the pound key[^14]. If your administrator configured a temporary default passcode, the system prompts you to create a personal passcode and record your name[^14].

### What you should see
Suggested check: confirm that the portal authenticates your credentials without issuing a lockout prompt.

### Rollback
Suggested rollback: dial the voice portal access code and follow the spoken prompts to re-record your name if changes are needed.

## Step 4: Configure call routing to voicemail

### Do
In User Hub voicemail settings, configure when inbound calls route to your mailbox by selecting send all calls, send calls when busy, or send calls when unanswered after a chosen ring count[^38][^52]. Selecting send all calls automatically disables both the busy and no-answer triggers[^36].

### What you should see
Verify that your selections persist after saving[^38]. If send all calls was chosen, confirm that the busy and no-answer options are greyed out[^36].

### Rollback
Return to User Hub voicemail settings, uncheck the enabled options, and save your preferences[^38].

## Step 5: Configure voicemail greetings

### Do
Under Send calls to voicemail with greetings in User Hub, choose either the default greeting or a custom greeting for both busy and no-answer states[^38]. To provide a custom greeting, record it within User Hub or upload a WAV file formatted as 8 kHz, 8-bit mono CCITT mu-law, with a file size of at most 960 KB (approximately 90 seconds)[^16]. Note that activating an extended away greeting via the voice portal stops callers from leaving voicemail messages[^13].

### What you should see
Place a test call to your extension while your line is engaged to verify the busy greeting, and let a test call ring out to verify the no-answer greeting[^38].

### Rollback
In User Hub, switch the busy and no-answer selections back to the default greeting[^38].

## Step 6: Configure message delivery and email copy

**No, keep messages only in my mailbox**

### Do
Under Message storage in User Hub, ensure Use internal mailbox is selected[^17]. Leave Email a copy of the voicemail message disabled[^12]. Standard email notifications of new messages remain active by default, whereas text message notifications are available only for US and Canada numbers[^25].

### What you should see
Deposit a test voicemail on your extension, confirm it arrives in your internal mailbox[^12][^17][^25].

### Rollback
Enable Email a copy of the voicemail message in User Hub if message attachments are desired[^12].

**Yes, keep messages in my mailbox and email me a copy**

### Do
Under Message storage in User Hub, keep Use internal mailbox selected[^17]. Turn on Email a copy of the voicemail message and enter your email address[^12]. This retains messages in your internal box while routing a copy to email[^53].

### What you should see
Leave a test message on your line and verify that an email arrives containing a.wav file attachment[^40]. If your administrator has enabled transcription for your location, confirm that the email body includes the text transcript[^40]. If the copy toggle is missing, your administrator has disabled voicemail forwarding options[^1].

### Rollback
Turn off Email a copy of the voicemail message in User Hub[^12].

## Step 7: Configure message waiting indications

**On a Cisco IP Phone 6800, 7800 or 8800 Series desk phone**

### Do
In User Hub under Message storage, with Use internal mailbox selected, turn on the message waiting indicator for desk phones[^17].

### What you should see
Deposit a test message and verify that the desk phone handset light strip displays a solid red light, the display presents an unread count, and lifting the handset produces a stutter dial tone[^19]. On the Cisco IP Phone 8845, the handset strip glows steady red for voice messages and flashes red for incoming calls[^22].

### Rollback
Turn off the message waiting indicator toggle in User Hub[^17].

**On a Cisco Video Phone 8875**

### Do
In User Hub under Message storage, with Use internal mailbox selected, verify that the message waiting indicator for desk phones is enabled[^17].

### What you should see
Deposit a test message and confirm that a voicemail icon with a counter appears on the screen, a numeric counter displays on the Recents button, and the handset strip LED illuminates if configured by an administrator[^45].

### Rollback
Turn off the message waiting indicator toggle in User Hub[^17].

**In Webex App on desktop or mobile**

### Do
In Webex App advanced call settings, check Message waiting indicator and turn on the Use unified messaging toggle[^6].

### What you should see
Deposit a test voicemail and verify that a red badge counter appears displaying the number of unread voice messages[^2]. Visual voicemail indications apply only to your primary line[^49].

### Rollback
Uncheck Message waiting indicator in Webex App advanced call settings[^6].

**By dialling the voice portal from another phone**

### Do
In User Hub under Voicemail notifications, ensure email notifications are enabled or configure a US or Canada mobile number for text message alerts[^25].

### What you should see
Deposit a test voicemail and verify delivery of the notification email or SMS alert[^25].

### Rollback
Disable notifications under Voicemail notifications in User Hub[^25].

## Step 8: Retrieve and play messages

**On a Cisco IP Phone 6800, 7800 or 8800 Series desk phone**

### Do
Press the Messages button on your phone and follow the spoken voice prompts[^18]. On Cisco IP Phone 8800 Series devices running multiplatform firmware through 12.0(7)SR3, pressing Messages autodials the voicemail system[^20][^21]. On the 6800 Series use the Messages button or softkey, and on 7832 or 8832 conference phones press the Messages softkey[^18].

### What you should see
Confirm that the audio prompt connects and initiates playback[^18]. If the button or softkey fails to initiate a call, the administrator must enable the Messages softkey[^18].

**On a Cisco Video Phone 8875**

### Do
On the home screen tap Recents, tap Expand to choose a line if multiple lines exist, select the voicemail icon in the list, and follow the voice instructions[^48]. Alternatively, press the hardware Messages key[^46].

### What you should see
Verify that the system connects to the voice portal and begins playing the selected message[^48].

**In Webex App on desktop or mobile**

### Do
On desktop Webex App, go to Voicemail, select a message, and click Play[^5]. On mobile Webex App, open Calls, tap Voicemail at the top, select a message, and tap Play[^8]. To access messages on additional secondary lines, call the voice portal from Webex App[^9]. An exclamation mark designates an urgent message, and a key icon indicates a private message that cannot be forwarded[^7].

### What you should see
Verify that audio playback begins[^5][^8]. If transcription is missing, the message may still be pending processing, may contain unclear audio, or may have been received before transcriptions were enabled[^10].

### Rollback
Suggested rollback: select the message and choose the option to mark it as unread.

**By dialling the voice portal from another phone**

### Do
From your Webex Calling device or Webex App, dial *62 and enter your passcode followed by #[^14][^37]. From an outside or non-Webex phone, dial your location's dedicated voice portal telephone number to access the portal[^51].

### What you should see
Suggested check: confirm that the portal authenticates your credentials and begins message playback.

## Step 9: Manage storage and delete messages

**On a Cisco IP Phone 6800, 7800 or 8800 Series desk phone**

### Do
In User Hub, use Manage voicemails to play, download, or delete single or multiple messages[^43]. Note that an individual message may be up to 10 minutes, and the total mailbox capacity is 100 minutes or 1000 pages of fax, shared across voice and fax items[^54]. Messages older than 180 days are archived automatically and require a service request to Cisco for retrieval[^55].

### What you should see
Verify that deleted messages disappear from the list and that the handset light strip and display counters clear once unheard messages are cleared[^19][^43].

**On a Cisco Video Phone 8875**

### Do
In User Hub, open Manage voicemails to download or delete old messages[^43]. Note that a mailbox is capped at 100 minutes total (with individual messages up to 10 minutes) or 1000 fax pages[^54]. Messages older than 180 days are archived automatically and cannot be retrieved without submitting a service request to Cisco[^55].

### What you should see
Verify that unread icons and count badges on the phone display clear after deleting unheard messages[^43][^45].

**In Webex App on desktop or mobile**

### Do
In Webex App desktop, right-click a message and select Delete[^4]. In Webex App mobile, swipe left across the message and tap Delete[^4]. Single messages are limited to 10 minutes, and total storage across voice and fax is 100 minutes or 1000 fax pages[^54]. Messages older than 180 days archive automatically and require a Cisco service request for recovery[^55].

### What you should see
Confirm that the deleted message is removed from the active message list and the red badge count decreases[^2][^4].

### Rollback
Open Trash in Webex App and recover the deleted message[^4].

**By dialling the voice portal from another phone**

### Do
Manage your message retention through User Hub Manage voicemails or delete messages during audio portal review[^43]. Total mailbox capacity is 100 minutes (up to 10 minutes per message) or 1000 fax pages[^54]. Messages are automatically archived after 180 days, requiring a Cisco service request to retrieve[^55].

### What you should see
Suggested check: sign in to the voice portal or User Hub to confirm the deleted messages no longer play or appear in active lists.

## Step 10: Configure caller transfer on 0 (optional)

### Do
In User Hub under Transfer from voicemail greeting, enable Transfer on 0 to another phone number and input the destination phone number[^42]. Update your voicemail greeting to inform callers they may press 0 to be transferred[^42].

### What you should see
Place a test call to your extension from an external line, wait for the greeting to begin playing, press 0, and verify the call successfully redirects to the designated number[^42].

### Rollback
Turn off the Transfer on 0 to another phone number toggle in User Hub and re-record your greeting without the prompt[^42].

## Step 11: Recover from voice portal lockout

### Do
In User Hub, navigate to Settings > Calling > Voicemail and select Reset voicemail PIN to assign a new PIN[^29].

### What you should see
From your phone, dial *62 and verify that the voice portal accepts your newly reset PIN without rejecting the connection[^37].

## Applicability

## What remains uncertain

Sources disagree on supported transcription languages: one Cisco article states non-English messages may not transcribe, while another lists 6 supported languages including English, French, German, Italian, Japanese, and Spanish[^39][^41]. No held document states the specific behavior or call disposition that occurs when a voicemail box reaches its storage capacity[^56]. Neither the default ring count nor the available range for unanswered call routing is published by Cisco[^52]. The exact number of failed passcode attempts required to trigger a voice portal lockout is not covered by the sources below. Dedicated voice portal external telephone numbers are provisioned per location and are not covered by the sources below.
