# Deploying the Webex App for Webex Calling users

Systems: Webex App

For Control Hub administrators, and Unified CM administrators where Unified CM provides calling, who roll out Webex App as a calling client.

Webex App delivers softphone calling across desktop and mobile devices when linked to a supported calling platform[^35][^52]. This guide steps through deploying the client, configuring discovery and calling behaviour, selecting an update cadence, and enabling desk phone control in Cisco Control Hub[^3][^58][^17].

## Before you start

- Cisco's Webex Calling configuration workflow establishes locations, PSTN, and phone numbers before calling options, calling behaviour, and device registration are configured[^62].
- If Unified CM provides calling, Mobile and Remote Access on Expressway must be in place if users will connect from outside the corporate network[^46].
- Note that Webex App displays a dial pad only to users provisioned with a phone service such as Unified CM, Webex Calling, or calling hosted by a service provider[^63].

## What changes by situation

- Which platform provides calling for these users? Webex Calling; Unified CM.
- How will the desktop app reach users' computers? Managed IT deployment; User self-installation.
- How should desktop app updates be controlled? Automatic updates (Controlled by Cisco); Scheduled updates.

## Step 1: Confirm licensing and prerequisites

**Webex Calling**

### Do
Confirm that each target user holds an appropriate Webex Calling licence[^35][^36]. The Webex Calling Professional user licence includes soft clients across desktop, mobile, and tablet[^35]. A Webex Calling Standard licensed user can have either one physical device or soft clients, but not both[^36]. We infer that a Webex Calling Standard user who takes Webex App as their soft client cannot also have a desk phone, so desk phone control from Webex App is not available to them[^38].

### Verify
Ensure every user is mapped to an intended location and provisioned with an extension, a number, or both[^33].

### Rollback
Suggested rollback: No configuration changes have been applied yet.

**Unified CM**

### Do
Confirm that each user holds a Unified Communications Manager licence[^8]. Disable Hybrid Calling or Webex Calling user enablement for these accounts before proceeding[^43].

### Verify
Confirm that neither Hybrid Calling nor Webex Calling remains enabled for any target user[^43].

### Rollback
Re-enabling Hybrid Calling or Webex Calling blocks Calling in Webex App (Unified CM) for that user[^43].

## Step 2: Entitle users for calling

**Webex Calling**

### Do
Assign the Webex Calling licence in Control Hub by opening Users, selecting the user, going to Summary > Licenses > Edit Licenses, choosing the service and subscription, and saving[^31]. Entitle the user by assigning a location and provisioning an extension, a number, or both[^33]. If setting up automatic licence assignment templates, ensure the phone number is in E.164 format, pre-provisioned and assigned to a valid Webex Calling location, and not assigned to any other user or service[^34]. With directory synchronization, automatic assignment uses the work phone number from the directory to look up that pre-provisioned number and location[^30].

### Verify
Open the user's Calling settings in Control Hub[^32]. If an error appears when opening Calling settings immediately after adding a Calling licence, Cisco recommends removing the Webex Calling licence and reassigning it[^32].

### Rollback
Remove the assigned licence under Users > Summary > Licenses > Edit Licenses and save the changes[^31].

**Unified CM**

### Do
In Unified CM, create CTI and voicemail UC services, combine them into a service profile, and assign that service profile to the end user[^50]. Configure the end user account with a Mail ID, select the Home Cluster checkbox, and add the account to the Standard CCM End Users and Standard CTI Enabled access control groups[^39]. Create softphone devices either automatically through Control Hub and Cloud-Connected UC, or manually in Unified CM as CSF, BOT, TCT, or TAB devices with a directory number and associated user[^51]. In softphone mode Webex App registers directly to Unified CM as a SIP device of type CSF on desktop, TCT or BOT on mobile, and TAB on tablets[^52].

### Verify
When using automatic softphone provisioning, verify that the device is created and the user is connected to phone services, which may take up to 5 minutes[^40].

### Rollback
Delete the softphone device from Unified CM, and unassign the service profile and access control groups from the end user record[^50][^51].

## Step 3: Make phone services discoverable

**Webex Calling**

### Do
For users licensed for Webex Calling, Webex App is the default calling application and no calling behaviour configuration is needed[^10].

### Verify
Suggested check: Confirm that the user account possesses an active Webex Calling entitlement.

### Rollback
Suggested rollback: No service discovery records require modification for cloud calling.

**Unified CM**

### Do
Publish the DNS SRV records `_cisco-uds` and `_collab-edge`, which Cisco recommends for discovering Unified CM phone services[^44]. If DNS SRV autodiscovery is not used, or if the sign-in email domain differs from the service discovery domain, create a UC Manager Profile in Control Hub under Management > Organization Settings > UC Manager Profiles > Add Profile[^44][^48][^47]. Populate the Voice Services Domain, and configure the UDS server address if the Webex App user ID does not match the Unified CM user ID[^47]. Note that when both a UDS server address and a voice services domain are configured, the server address determines the home cluster and DNS SRV autodiscovery is ignored, while the domain determines whether the client is on-premises or on MRA[^49].

### Verify
Sign in to Webex App on a test client to verify that authentication prompts for credentials without requesting manual server entry[^45]. Without DNS SRV autodiscovery or a UC Manager Profile, users must type the UDS server address or the UC domain into Webex App themselves[^45].

### Rollback
Remove the created UC Manager Profile from Control Hub under Management > Organization Settings > UC Manager Profiles, or withdraw the published DNS SRV records[^48][^44].

## Step 4: Set calling behaviour

**Webex Calling**

### Do
Retain default calling settings, as Webex App is the default calling application for users licensed for Webex Calling and no calling behaviour configuration is needed[^10].

### Verify
Suggested check: Verify that calling behaviour options remain unconfigured or set to defaults.

### Rollback
Suggested rollback: No calling behaviour overrides need reversal.

**Unified CM**

### Do
In Control Hub, navigate to Services > Calling > Settings > Webex App to set organization-level calling behaviour[^3]. Choose whether to route calls through Webex App or Cisco Jabber[^7]. For the domain setting, select Use the email domain of the user, which is the default, or Use UC Manager Profile for calling with a profile selected from the list[^6]. To vary behaviour across departments, apply calling templates at the group level[^2]. When a user belongs to several user groups, the calling template with the highest rank (Rank 1) takes precedence[^1]. To override settings for an individual user, navigate to Management > Users > the user > Calling > Calling Behavior and turn off Use organization level settings[^9].

### Verify
Inspect the effective settings on a sample user account, noting that a user-level setting overrides organization and group settings[^2].

### Rollback
To return an overridden user to the group template settings, click Reset on the user's calling behaviour page[^4]. To revert organization defaults, return to Services > Calling > Settings > Webex App and re-select the original routing and domain options[^3][^7][^6].

## Step 5: Set call options and in-call features

**Webex Calling**

### Do
In Control Hub, go to Services > Calling > Settings > Webex App > Call Settings to set the order of calling options shown in Webex App[^11]. Decide whether to enable single click-to-call, which uses the priority 1 call option and falls through to the next option if priority 1 is not set up[^13]. In the In-call feature access section under Services > Calling > Settings > Webex App, configure permissions for screen sharing, desktop and mobile video, moving calls to meetings, desktop conference calling, the automatic recording indicator, and the calling dock[^21].

### Verify
Restart Webex App on a test client to inspect the updated settings immediately, as changes to Webex App call settings may take up to 24 hours to reach users[^12].

### Rollback
Revert the toggles and option orders under Services > Calling > Settings > Webex App[^11][^21]. Note that organization in-call feature defaults apply to new users, and a user-level setting overrides them and does not automatically return to the organization default[^22].

**Unified CM**

### Do
In Control Hub, navigate to Services > Calling > Settings > Webex App > Call Settings to configure the display order of calling options, which applies to Unified CM deployments as well as cloud calling[^11]. Choose whether to enable single click-to-call to direct calls automatically to the priority 1 option or fall through to the next available option[^13].

### Verify
Restart Webex App on a test client to verify the updated calling option order without waiting up to 24 hours for propagation[^12].

### Rollback
Navigate to Services > Calling > Settings > Webex App > Call Settings and return the call options to their prior order[^11].

## Step 6: Install Webex App

**Managed IT deployment**

### Do
On Windows, push the MSI using administrator privileges with the parameter `ALLUSERS=1` to perform a per-computer installation[^23]. Include the switch `/qn` to run a silent installation and `ACCEPT_EULA=TRUE` to suppress the end-user licence agreement prompt[^29]. Optionally add the parameter `EMAIL` using a variable such as `$userPrincipalName` to prepopulate the sign-in address, and include `PREVENT_PRELOGIN_UPDATES` to stop Webex App updating until the user has signed in[^24][^28]. On mobile platforms, deploy Webex App using MDM or MAM through Microsoft Intune or AppConfig, or wrap the iOS IPA and Android AAB files[^26].

### Verify
Launch Webex App on a pilot Windows endpoint to confirm that it installed without user prompts and displays the pre-populated sign-in address[^29][^24].

### Rollback
Suggested rollback: Remove the client package from endpoints using your administrative deployment tool.

**User self-installation**

### Do
Direct end users to download and install Webex App on their endpoints[^27][^25]. On Windows, a user can install the app without administrator privileges, which installs per user under `%LocalAppData%\Programs\Cisco Spark`[^27]. On macOS, users install the client by opening the `Webex.dmg` file, and the application can be placed in any directory[^25].

### Verify
Suggested check: Confirm that users can launch the application and reach the authentication sign-in screen.

### Rollback
Suggested rollback: Have users uninstall Webex App using standard operating system application removal procedures.

## Step 7: Choose the update cadence

**Automatic updates (Controlled by Cisco)**

### Do
Configure or retain Automatic updates (Controlled by Cisco), which automatically updates users each month[^53]. Note that a new release takes 7 days to roll out to everyone, during which users can check for updates, and after which the update applies automatically[^61].

### Verify
In Control Hub, verify that the update policy reflects Automatic updates under Organization Settings > Templates > Recurring software updates for Webex app, or under Management > Users > the user > General[^58].

### Rollback
Switch the template or user setting to a scheduled cadence[^58]. Note that there is no option to revert users to an earlier Webex App desktop update[^57].

**Scheduled updates**

### Do
In Control Hub, apply scheduled updates for groups under Organization Settings > Templates > Recurring software updates for Webex app, or per user under Management > Users > the user > General[^58]. Select either the Latest channel, which operates on a 1-month cadence, or the Slow channel, which operates on a 4-month cadence and must be requested from Cisco[^56]. Set the deferral period, which can be up to 4 weeks on the Latest channel and up to 12 weeks on the Slow channel before users are upgraded automatically[^55]. Ensure update cadences align with client support policy, as a Webex App desktop update is supported for up to 3 months and 2 weeks[^59].

### Verify
Confirm in Control Hub that the target group or user displays the selected channel and deferral duration[^58]. Note that Cisco may apply critical patches to all users with immediate effect, outside the scheduled update cadence[^54].

### Rollback
Change the template or individual user profile setting back to Automatic updates (Controlled by Cisco)[^58][^53]. There is no option to revert users to an earlier Webex App desktop update[^57].

## Step 8: Enable desk phone control

**Webex Calling**

### Do
Instruct licensed users to open Webex App and select the desk phone as the calling device in Calling settings, allowing Webex App to act as a remote control for the phone[^17]. We infer that this is unavailable to Webex Calling Standard users who selected soft client access, because a Standard licence allows either one physical device or soft clients, but not both[^36][^38].

### Verify
Place a call from Webex App and verify that the desk phone places the call and reflects call activity on its display[^16]. Verify that holding, merging, transferring, and keypad tone entry can be controlled from the app during the call[^16].

### Rollback
Switch the calling device in Webex App back from the desk phone to the computer[^17][^64].

**Unified CM**

### Do
Ensure the end user account belongs to the Standard CTI Enabled access control group[^39]. For users controlling 9900, 8900, 8800, or DX phones, add the user to the Standard CTI Allow Control of Phones supporting Connected Xfer and conf group[^41]. For users controlling 6900 phones, add the Standard CTI Allow Control of Phones supporting Rollover Mode group[^41]. Associate the desk phone or Extension Mobility profile with the user account in Unified CM[^42]. In Webex App Calling settings, have the user select the desk phone as the calling device[^17].

### Verify
Verify that the associated desk phone or Extension Mobility profile appears as an available device in Webex App[^42]. In Health Checker, run the Phone Services test and verify that the desk phone server displays a green check mark[^20].

### Rollback
Remove the desk phone or Extension Mobility profile association from the user in Unified CM, or remove the user from the CTI access control groups[^42][^41].

## Step 9: Brief users on moving calls between devices

### Do
Inform users that calls move smoothly between Webex App and a desk phone when both share the same phone number and the user is connected to the desk phone[^37]. Note that moving a call between devices is supported only on the primary line; for a secondary line, the user must first select that line with the line selector[^15]. Where call pull is available, to pull an active call onto a desk phone, instruct users to press the Call Pull key on a Cisco desk phone or dial `*11` on a third-party phone[^14].

### Verify
Have a pilot user establish an active call on their primary line in Webex App and successfully pull the call to their desk phone[^15][^14].

### Rollback
Suggested rollback: No configuration rollback is applicable to user briefing instructions.

## Step 10: Verify end to end

**Webex Calling**

### Do
Open Health Checker in Webex App on Windows by selecting the profile picture > Help > Health Checker, or on Mac by selecting Help > Health Checker[^19].

### Verify
Verify that Health Checker confirms internet connectivity, cloud connectivity, and Webex cloud status from `status.webex.com`[^18]. Suggested check: Execute inbound and outbound test calls from the softphone to confirm that calls ring and connect cleanly.

### Rollback
Suggested rollback: No changes applied during verification require reversal.

**Unified CM**

### Do
Open Health Checker on Windows from the profile picture > Help > Health Checker, or on Mac from Help > Health Checker[^19]. Run the Phone Services test, and place test calls using both the softphone and a controlled desk phone[^20][^16].

### Verify
Confirm that the Phone Services test in Health Checker shows a green check mark for the softphone server, desk phone server, and voicemail server[^20].

### Rollback
Suggested rollback: No changes applied during verification require reversal.

## Applicability
